We understand the disappointment of canceling a trek or trip after months of preparation. That's why we have a traveler-friendly cancellation policy.

• Pending Payment Policy:
• Complete your pending payment 5 days before departure.
• Failure to pay the second installment may result in booking cancellation and loss of advance payment.
• Boarding will be denied for non-payment, and the seat will be reassigned.

Cancellation and Refund Policy:

For Backpacking Expeditions and Long Treks (More than 4 nights):

• 30+ days before departure: Full refund in a Trek Panda coupon or monetary refund with a 15% cancellation charge.
• 20-30 days before departure: 80% refund in a Trek Panda coupon or monetary refund with a 50% cancellation charge.
• Less than 20 days before departure: No monetary refund; 50% refund in a Trek Panda coupon.
• Less than 15 days before departure: No refund.
• If unwell: No refund; you may find a replacement if needed.

For Sahyadri Treks/Camping and Weekend Backpacking Trips:

• 30+ days before departure: Full refund in a Trek Panda coupon or monetary refund with a 15% cancellation charge.
• 20-30 days before departure: 80% refund in a Trek Panda coupon or monetary refund with a 50% cancellation charge.
• Less than 20 days before departure: No monetary refund; 20% refund in a Trek Panda coupon if fully paid.
• Ticket transfer: 20% surcharge, subject to the organizer's decision.
• No-show or illness: No refund; find a replacement if needed.
• Advance Booking amount: Non-refundable.

Important Note: No refund 15 days before New Year and Christmas events.

For International Trips:

• Short Haul Destinations:Thailand, Singapore, Bali, Dubai, Kazakhstan,Bhutan,Azerbaijan, Vietnam,
• 31+ days before departure: The booking amount is non-refundable; balance will be issued as a credit note.
• 30-16 days before departure: 50% of the full tour cost cancellation charges; balance will be issued as a credit note.No Monetary Refund.
• Less than 15 days before departure: 100% cancellation charge, no refund.
• Note: Actual airfare cancellation fees are applicable.

• Long Haul Destinations:Europe, UK, Turkey, Egypt, Australia, New Zealand, South Africa.
• 46+ days before departure: The booking amount is non-refundable; balance will be issued as a credit note.
• 45-31 days before departure: 60% of the full tour cost; balance will be issued as a credit note.
• 30-21 days before departure: 80% of the full tour cost; balance will be issued as a credit note.
• 20 days or fewer before departure: 100% cancellation charge, no refund.
• Note: Airfare cancellation fees apply, and refunds exclude non-refundable services.

Important Notes for International Trips:

• The cancellation fee may vary depending on destination and travel dates, especially during peak seasons. Please confirm with the sales agent.
• Cancellation policy is non-negotiable, and 5% GST will be applied to the total cancellation amount.

Disclaimer:

TrekPanda will not be responsible for any loss, theft, or misplacement of personal belongings during the trip. Participants are requested to take care of their valuables at all times.Travel insurance is not included in the package unless explicitely mentioned.

If We Cancel a Trek or Trip:

• Due to Natural Calamities /Unrest /war-like situations: No refund. Alternatively, the amount paid will be issued as a TrekPanda coupon after train cancellation, or a 20% cancellation charge on the trip cost will apply for a monetary refund.
• Sahyadri Treks/ Backpacking: Event shift or full refund if cancelled due to low participation.
• Medical Emergencies or COVID: Standard cancellation policy applies.

Trip Delays and Connecting Transport Failures:

Trek Panda will assist with alternate arrangements in case of delays, but participants bear associated costs.

Flight Disruptions, Delays & Cancellations

TrekPanda acts only as a facilitator for flight bookings. All flight schedules, delays, rescheduling, cancellations, and operational changes are solely at the discretion of the respective airline.

* In the event of a flight cancellation, rescheduling, delay, route change, or any operational disruption by the airline, TrekPanda will provide reasonable assistance in coordinating with the airline for available alternatives.

* Any refund, compensation, accommodation, meal vouchers, or alternate travel arrangements arising due to airline disruptions shall be governed entirely by the airline's policies and applicable regulations.

* TrekPanda shall not be held liable for any direct or indirect losses, missed activities, missed departures, additional accommodation expenses, loss of business, or other consequential costs resulting from airline schedule changes, delays, cancellations, weather conditions, technical issues, air traffic restrictions, strikes, force majeure events, or any circumstances beyond TrekPanda's control.

* Any additional costs incurred due to airline-initiated schedule changes, including fare differences for alternate flights, extended stays, or revised travel arrangements, shall be borne by the traveller unless otherwise covered by the airline.

* Travellers are strongly advised to purchase comprehensive travel insurance that covers flight cancellations, delays, missed connections, trip interruptions, medical emergencies, baggage loss, and other unforeseen travel-related disruptions.

* By booking a package that includes flights, the traveller acknowledges and accepts the airline's terms and conditions and understands that TrekPanda's responsibility is limited to facilitating the booking and providing support wherever reasonably possible.

Cancellation Process:

• Email us at finance@trekpanda.com with your booking details.
• Policy Application: The policy applies from the date of email receipt.
• Refund Timeline: Processed within 2-5 working days.
• No cancellations via phone or WhatsApp; only email.
• In case we do not receive the minimum required number of bookings, we may have to cancel the trek up to 8 hours before the departure.We understand this may cause inconvenience, and in such cases, participants will be given the option of a full refund or shifting to another upcoming batch.
